Are you an Administrative Assistant with detail orientation and outstanding communication skills? Join our talented group of fun and dedicated associates. You will provide support to the Construction and Facilities Department. Manage daily and monthly assigned tasks. Liaison between staff and other departments, including Accounts Payable. Manage data spreadsheets and produce reports. Manage staff calendar and travel.

Responsibilities

·Schedule appointments, Zoom meetings, Weekly Staff Meetings

·Maintain staff calendars and weekly travel schedule

·Assist department staff as needed on various special projects

·Manage CER System, generate, track and distribute Purchase Orders internally and to vendors

·Maintain and keep current Vendor information

·Pull and populate various reports from CER System and coordinate with AP as needed

·Assist other Department heads and Corp AA’s to cover PTO and or Phone Duties

·Prepare communications, such as memos, emails, invoices, reports and other correspondence

·Write and edit documents from letters to reports and instruction documents

·Compile information and prepare reports from the ERMA system

·Manage and arrange staff travel to include hotels, rental cars and general reservations

Qualifications

·Ability to multitask.

·High Level Communication skills.

·High Level Computer skills that include Microsoft Office, Outlook, Calendars, Zoom Meeting Coordination, Excel, Word, Outlook, Adobe Acrobat, etc.

·Ability to create detailed budget spreadsheets and gather information pertaining to projects.

·Minimum 3 years of experience in or related position
