The Ward Clerk is responsible for providing clerical and administrative support to the nursing department. This role ensures accurate recordkeeping, timely communication, and efficient coordination of unit activities, thereby supporting the delivery of high-quality resident care.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

The essential functions of this position include the following. This list is not intended to be exclusive or exhaustive. There may be additional essential functions based on the unique nature of the position or environment.     

  • Assist with the admission, transfer, and discharge of residents. Assist in arranging transportation, packing, escorting to discharge/transfer area, loading, etc., as necessary.
  • Answer telephones, page calls, delivers messages to residents, etc., as necessary.
  • Initiate appropriate records upon resident admission, transfer, and/or discharge.
  • Assist nursing staff with filing/uploading documentation into the medical record, ensuring accuracy and confidentiality.
  • Schedules consultations, sets up X-rays, lab work requisitions/reports.
  • Forward new diet orders and/or diet changes to the Dietary Supervisor.
  • Schedule resident appointments for diagnostic and therapeutic services and arranging transportation.
  • Keep nursing service personnel informed of residents’ appointments.
  • Deliver mail, flowers, etc., as necessary.
  • Inform nursing service personnel of new admissions, their expected time of arrival, room assignments, etc.
  • Greet newly admitted residents upon admission. Escort to room as necessary.
  • Report administrative problem areas to the DON or designated person. Assist in developing and implementing corrective action.
  • Track physician visits and consultations in accordance with current regulations.
  • Perform other duties as assigned.

QUALIFICATIONS:

Education and/or Experience:

  • High school diploma or equivalent required.
  • Previous experience in a healthcare or skilled nursing facility preferred.
  • Knowledge of medical terminology and familiarity with EHR systems is strongly preferred.

  • None

Minimum Qualifications:

  • Computer skills are required.
  • Meets all state and federal criminal background check requirements
