The Administrative Assistant provides essential administrative and clerical support to the Accounting Department within a healthcare organization. This role helps ensure the smooth and accurate processing of financial transactions, recordkeeping, and departmental operations. Responsibilities:
- Provide administrative support to the accounting team, including scheduling meetings, maintaining calendars, and handling correspondence.
- Assist in processing vendor invoices, purchase orders, and employee expense reports in accordance with healthcare compliance and internal policies.
- Perform data entry for financial transactions into the accounting system
- Support the month-end and year-end close process by organizing supporting documentation and reconciling accounts.
- Maintain organized and compliant digital and paper files for financial records, contracts, and invoices in accordance with HIPAA and company data privacy standards.
- Assist in preparing reports for leadership, auditors, and regulatory agencies as needed.
- Serve as a liaison between the accounting department and other departments (e.g., patient billing, HR, procurement) to ensure timely flow of financial information.
- Monitor and manage supply inventory for the accounting office.
- Support coordination of audits, grant reporting, and compliance documentation.
- Handle sensitive and confidential information, including patient-related financial data, with the highest level of discretion.
Requirements:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred.
- Experience:
- Minimum of 2 years of administrative experience required; experience in healthcare or accounting/finance environment preferred.
- Familiarity with healthcare billing, purchasing, or compliance processes is an asset.
- Technical Skills:
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with accounting or ERP systems (e.g., QuickBooks, Sage Intacct, Oracle NetSuite, or similar).
- Understanding of healthcare compliance standards (HIPAA) preferred.
- Soft Skills:
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities and meet deadlines.
- Professional, dependable, and able to maintain confidentiality at all times.
